Rwanda Safaris is managed by Primate Safari Experiences Limited and they do offer safari services to the Democratic Republic of Congo(DRC), Uganda, Rwanda, Kenya & Tanzania and an option of multi-country safaris. We, therefore, undertake to offer safari services in those various countries subject to the terms and conditions stipulated below.
TERMS AND CONDITIONS
This contract is between Primate Safari Experiences limited – and the client travelling or intending to travel with us on an itinerary. The contract, including all matters arising from it, is subject to Ugandan law and Primate Safari Experiences Ltd has the sole authority to vary or omit any of these terms.
- BOOKING WITH PRIMATE SAFARI EXPERIENCES LIMITED
- To make your booking please follow the procedure in the booking tab or ask for an offline application form. The relevant application form requires to be completed by all persons travelling. In case one is under 18 the application form needs to be signed by the parent or guardian or initialled online by the parent during the booking process. The completed booking form must then be sent to us in cases of offline application.
- Copies of valid Passport, identity cards to help us make the bookings and payments for the Gorilla, chimpanzee, Nyiragongo payments respectively.
- PAYMENT AND CONFIRMATION OF TRIPS
Confirmed bookings require a deposit of 30 per cent on the total trip as a commitment fee.
The deposit facilitates covering payment of chimpanzee, Gorilla permits. However, please note that these payments are NON REFUNDABLE UWA, RDB & ICCN. they are only subject to rescheduling.
- HOTEL BOOKINGS
All accommodation prices are inclusive of the payable taxes in the various countries of visit ie. DRC, UGANDA, KENYA, RWANDA, TANZANIA.
- The price quoted for any trip covers the cost of the planning, the organisation and carrying out of the trip, including trip equipment, accommodation, administration and staff, except for the following, vaccination fees, travel insurance, cost of travel to and from the start/return point of your trip including your international flights, cost of passport and visas, personal equipment and personal expenses. However, at your request and expense we can arrange for you some of the activities and information on those that are to be met by yourself(ves).
- Upon receipt of the full payment, travel information will be forwarded by e-mail and it will include; a detailed itinerary, booking references and the name of the tour leader and guide for your safari.
All trips shall be booked and confirmed upon receipt of a 30% deposit of the basic trip fees. For gorilla, chimpanzee, and Nyiragongo permits a full advance payment of the permit fee is required in order to make the reservation. The payment balance is due not later than 30 days prior to the safari unless agreed otherwise.
Bookings made within 30 days before arrival must be paid in full at the time of confirmation. If payment is not received in accordance with the above, Primate Safari Experiences Ltd will cancel the trip.
Payment can be made by VISA Credit Card, bank transfer or cash, before the start of the safari. Payments by VISA Credit Card attract a 4% service charge. Credit card transactions must be made at least two months prior to the start of your safari. Regretfully, traveller cheques are not accepted. These costs of international transactions (or 4% service charge in case of credit card payments) are to be fully paid by the client.
Services are provided in accordance with the various service provider’s terms and conditions which terms may limit or exclude their liability to you in the event of death, personal injury, delay or loss/damage of personal possessions their own terms and conditions. These services range from Transport services, trekking, hiking services, accommodation services among others.
CANCELLATION FEES: If it becomes necessary to cancel your holiday, you must notify Primate Safari Experiences immediately in writing. Cancellation will take effect upon receipt by Primate Safari Experiences of your written notice. The cancellation penalty depends on the number of days before tour departure:
- 60 -100 days 10% off the total cost
- 59 – 32 days 25% off the total cost
- 31 – 8 days 50% off total
- 7 – 3 days 75% off the total cost
- 48 hours or less prior to arrival 100% tour cost.
No refunds will be made once your safari has commenced on the following prepaid services: Accommodation, Car hire services, any other services or inclusions not utilized. Please take note of the terms and conditions to detail to avoid any misinformation.
NATIONAL PARK ACTIVITIES
We call upon clients to be observant, vigilant, disciplined and follow all the regulations available in the various tour places like time for game drive, speed, while in the National Park, Avoid playing loud music in the park to avoid penalties as per the Uganda Wildlife Tarrifs,
In the unlikely event that a dispute arises during the trip in regards to any of the travel arrangements, they must inform Primate Safari Experiences staff members at the time in writing(Email or by hand) , by phone call so as to be able to look into the dispute immediately.
We encourage you not to withhold information that is necessary to help us plan your trip, this ranging from most common allergies due to weather, food to mention but a few, therefore except a disclosed in your medical questionnaire, you are taken to confirm at the time of booking that you are in good health, physically capable of undertaking all aspects of the trip, and unaware of any reason you from carrying out your trip part or maybe likely to suffer illness or injury during the trip, putting into consideration the challenges and unpredictable events. If you have your doubts about some activities kindly contact health personnel and our team for details on the activities you are not sure of, this must be done before you submit your application form so that we can ably help you choose the most suitable trip for you
- 8. INSURANCE.
Primate Safari Experiences recommends clients to take out travel, health and cancellation, accident insurance. At PRIMATE SAFARI EXPERIENCES “DO NOT ACCEPT ANY LIABILITY FOR PERSONAL INJURIES AND LOSSES” ACCIDENT, DELAY OR IRREGULARITY WHICH MAY BE OCCASIONED EITHER BY REASON OF ANY DEFECT IN ANY VEHICLE, VESSEL OR EQUIPMENT OR BY ACTS OF GOD OR THROUGH THE ACTS OF DEFAULT OF ANY COMPANY OR PERSON ENGAGED IN CONVEYING THE PASSENGERS OR IN CARRYING OUT OUR ARRANGEMENTS OF THE SAFARI OR OTHERWISE IN CONNECTION HEREIN
We therefore strongly recommend that you undertake a travel insurance policy for such eventualities like weather interruptions and all other circumstances beyond our control and reach.
Please Note: We will do everything possible to rearrange services in such eventualities, but we SHALL not be held financially responsible for the interruption under those circumstances. Therefore, we strongly advise that you get a travel insurance cover
Force Majeure” means, in relation to PRIMATE SAFARI EXPERIENCES LTD, any circumstances beyond the reasonable control of PRIMATE SAFARI EXPERIENCES LTD, (including, but without limitation to acts of God, explosion, flood, tempest, forceful wind, fire or accident, war or threat of war declared or undeclared, acts of terrorism, sabotage, insurrection, riots, strikes, civil disturbance, requisition, sickness, quarantine, government intervention, weather conditions, defects in machinery and vehicles, delay, wildlife, or other un foreseen occurrences).
To that effect, PRIMATE SAFARI EXPERIENCES LTD shall not be said to be in breach of the terms and conditions or otherwise be liable to you, on grounds of delay in performance, or non-performance, of any of its obligations herein to the extent that any such delay or non-performance is due to any Force Majeure. THE PURCHASE OF TRAVEL INSURANCE IS HIGHLY RECOMMENDED ON ALL TRIPS.
In case PRIMATE SAFARI EXPERIENCES LTD, and/or any of its travel suppliers, are affected by Force Majeure, they shall be entitled to, and may in their sole and absolute discretion, vary or cancel any itinerary or arrangement in relation to the trip. Payment of any refund by PRIMATE SAFARI EXPERIENCES LTD to you as a result of the non-performance of any obligations hereunder shall remain in its sole and absolute discretion, although PRIMATE SAFARI EXPERIENCES LTD shall use its reasonable efforts to reimburse you where possible. However, PRIMATE SAFARI EXPERIENCES LTD SHALL be entitled to deduct from any refund recoverable the reasonable actual and potential costs to them of the Force Majeure and applicable cancellation fees.
